Q. How far in advance should we book our group travel?
A. For the widest choice of options and lowest rates, we recommend booking as early as possible to take advantage of greater availability with suppliers. Most airlines let you book around 11 months in advance of your departure. Most hotels and touring companies let you book between 12-18 months in advance. Cruise lines can let you book up to around 24 months in advance.
Q. What are the payment options for group bookings?
A. We accept payment from a group leader or organiser on behalf of all group travellers. Depending on the size of the group, and the number of diversions from the main group itinerary, our Group Travel Experts can offer more flexible arrangements when needed.
Q. Can we make changes to our group booking after it's been made?
A. Depending on how far out you are from your departure, you can request changes remembering that supplier terms and conditions may apply ˗ especially when tickets or documents are re-issued. You can make changes to your itinerary any time prior to the final payment being made, which are usually due between 45-90 days prior to departure depending on your chosen destination and supplier.
Q. What are the cancellation policies for group bookings?
A. Policies vary between suppliers and are subject to your group contract terms and conditions. Cancelled bookings may incur both Flight Centre fees and supplier fees, which can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Where we incur any liability for a supplier cancellation fee for any booking which you change or cancel, you agree to indemnify us for the amount of that fee. Where you seek a refund for a cancelled booking for which payment has been made to the supplier, we will not provide a refund to you until we receive the funds from that supplier.
Q. Does Flight Centre offer any discounts or special rates for group bookings?
A. We will source quotes from multiple suppliers on your behalf to offer you the best options for your consideration. Contracted rates are based on the approximate number of passengers and can vary in comparison to single-traveller pricing, with the benefit that we will secure the same great price for all of your travellers and the added flexibility of time to confirm exact names and numbers - without the pressure of an instant purchase ticket or limited availability!
